Plain language, no fine print. This policy explains what the campaign collects, how it is used, who can see it, and how to have it deleted.

We collect only what you choose to give us through forms on this site. Depending on the form, that can include:
When you send an issue report, the site also automatically records, privately, the network (IP) address and browser/device description your request came from. Staff use this only to spot repeated or abusive submissions; it is never shown publicly.
Anonymous feedback submissions collect no contact information.
Your information is used for these purposes:
Individual feedback stays private unless you chose to make it public (see the next section); otherwise only general themes are discussed publicly.
Providing your telephone number in a form does not sign you up for campaign text messages. Campaign texts are sent only when you tick the separate, unchecked consent box labelled “Send me occasional campaign updates by text message.”
That consent is recorded per submission, together with the date and time you gave it, and campaign texts are sent only to the list of people who ticked that box. You can withdraw consent at any time using the stop text updates page - it takes effect immediately - or by replying “stop” to any campaign text or contacting us (below).
Your email address and phone number are kept private. Some things appear publicly only when you choose:
Consent to campaign updates by email or text is never pre-selected. Choices about what appears publicly are explained next to each form.
Campaign feedback (questions, ideas, reports, volunteer offers, sign requests) is used to reply to you and organize the campaign. Offering to volunteer or request a sign does not sign you up for updates.
Volunteer offers sent from the Get Involved page are now saved in the campaign's private database and a copy of the details is emailed to the campaign volunteer inbox through our email service provider. Authorized campaign staff can see your name, contact details, contact preference, ways to help, address or notes and your consent choices. Ticking optional updates only records that choice; it does not add you to an email or text list automatically. Some older versions of this site kept form entries only in your own browser's storage; those entries were never sent to the campaign, stay on your device until you clear your browser data, and you may want to resend an older offer.
Optional updates are sent only if you tick a separate opt-in box, and you can unsubscribe at any time.
Sealed-envelope (mail-in) voting applications are processed for the election official, not used for campaign outreach.
Your checklist choices, private reminders and filters are saved only in your browser. Nothing is sent unless you deliberately do one of two separate things. Share my picks creates a link carrying only your Head of Council choice and up to six councillors in the part of the link after "#", which browsers don't send to our server; anyone you send it to can forward it. The optional community tally counts only participants who shared a device location within the Municipality of Roblin. When you press "Check my location and contribute" (never on page load), your browser asks for location once; the fresh reading (under 2 minutes old) is sent privately to our server, checked against the official Manitoba municipal boundary, and then discarded — coordinates and accuracy are never stored, logged or put in links. Only the time the check passed is kept, with your candidate selections, after you tick a consent box. Updates need a new check; removal does not. Device location can be spoofed and does not prove residency or voter eligibility. It stores those selections with a one-way hash of a random key kept in your browser, so you can update or remove your contribution from the same browser. No name, email, notes, voter record, coordinates or device details are stored with it, the network address used for short-term abuse limits is hashed and not kept with your choices, and the tally is not used for campaign support tracking. Individual contributions are never shown; rankings for an office appear only after 100 contributing browsers chose someone for that office. Because there are no accounts, totals count browsers, not verified people or eligible voters. Clearing your browser data loses the key, so remove a contribution first if you want it gone.
If you use the online application, your completed Form 26 (including your drawn signature) and your ID attachment are uploaded to a separate private storage area that is not publicly accessible. When you submit securely, a message with private download links goes to the configured election-official recipient, and a copy of the same links goes to you. Those links stop working after 7 days, but their expiry does not by itself delete the stored files.
Within the campaign, only authorized administrators can open these files, through short-lived links. The website's copy of your form and ID is permanently deleted when the election official confirms the application was processed, when you choose delete from your private status link, or when an administrator deletes it. To request deletion yourself, use the delete option on your private status link, or contact the campaign. Deleting removes the stored form and ID files, but the application record is kept: your name, mailing address, phone and email, your declarations and follow-up/reminder choices, the reference number, dates, status and delivery details (such as the method used and the configured recipient).
If you download the form and send it yourself, the website does not upload your ID or signed form, but it still saves the same application record (name, contact details, declarations and choices) described above.
Form submissions are visible only to authorized campaign team members through a restricted administrative area. Access is limited to the smallest practical number of people and used only for the purposes described above.
Running the site requires service providers that process data on the campaign's behalf: website hosting and database storage (Lovable Cloud), email delivery for confirmations and replies, and, where you use them, mapping features. They process information only to provide those services.
We do not sell, trade or rent your personal information, or share it with other campaigns or organizations for their own use. Your email address and phone number are never published on this website. We use service providers to run it - website hosting, the database and file storage, and email delivery - who process information only to provide those services.
Campaign records are kept only as long as needed for the purposes above and any applicable election record-keeping requirements, after which they are deleted. Mail-in application files follow the separate deletion steps described above.
You may ask at any time to see what information the campaign holds about you, to correct it, or to have it deleted. To make a request:
We will confirm your identity, carry out the request promptly, and let you know when it is done. Deleting your information also removes you from all campaign contact lists.
Every campaign update message includes a way to unsubscribe, and ideas-board notifications include a one-click unsubscribe link. You can also unsubscribe at any time by replying “unsubscribe” to any campaign email or writing to hello@verlin.ca. We will remove you promptly and confirm.
